Attendance Records

Attendance Records is the main history table for work sessions. It shows your own records by default, or team/all employee records when your permissions allow wider access.

Open Attendance and go to the Attendance Records table on the Clock In / Out page.

Users with wider access can also use Filter By Organization and Filter By Employees from the page header.

Column Meaning
Employee Employee attached to the record.
Date Work date from the check-in time.
Clock In Recorded start time.
Clock Out Recorded end time, or Pending when the session is still open. Overnight sessions can show +1 day.
Break Time Total break duration. Tooltip details list each break when available.
Buffer Hours Buffer time used after regular working hours. Auto-checkout rows show zero buffer in the table.
Overtime Hours Raw overtime duration. Users with all-attendance access can see overtime multiplier detail.
Under Hours Time short of expected hours.
Working Hours Calculated working duration after break deduction.
Status Flags such as Normal, Late Check-in, Early Checkout, Auto Checkout, and day type.
Actions Row-level actions allowed for the current user.

Use the following controls:

  • Filter By Organization
  • Filter By Employees
  • Filter by Status
  • Pending checkout
  • Date range picker
  • Today
  • Last 7 Days
  • This Week
  • This Month
  • Previous Month
  • Last 3 Months
  • Clear Filters

The status filter options are Late Check-in, Early Checkout, and Auto Checkout. Multiple selected status filters are combined as an OR condition.

Action What it does Permission or condition
View Record Activity Logs Opens activity history for the row. Available as a row action.
Make Correction Request Starts a correction request for the row. The row must belong to the current user.
Quick Edit Opens the edit modal for direct record changes. attendance.change_attendancerecord.
Delete Record Deletes the attendance record. attendance.delete_attendancerecord.
Add Attendance Record Creates a manual record for an accessible employee. attendance.add_attendancerecord.
Export Data Exports filtered attendance data. Page access; some export options are restricted to all-attendance access.

Manual edit and delete are blocked when a pending or needs-info correction exists for the attendance record. Resolve the correction first.

The Add Attendance Record modal includes:

The system validates time order, future times, overlapping records, break boundaries, and overlapping breaks. After a record is added, QTO recalculates working hours, break time, late/early flags, buffer hours, under hours, and overtime.
